Digital Asset Manager is a fancy term for software system that manages and organizes files and folders - especially those associated with artwork and images. Cyrious Online contains a powerful Digital Asset Manager that helps with brand management, storage, security, and more.

Understanding Assets (Files)

Almost any document you could store on your local computer can be managed and made available to (permitted) users of Cyrious Online through the Asset Manager. Common uses of the Asset Manager in Cyrious Online include storing and accessing:

  • Logos, Brands, and other corporate assets.
  • Commonly used Image Files.
  • Artwork (templates).
  • Additional Products Information and Flyers.
  • Installation documents.
  • Site Photos.
  • POs, company orders, etc.
  • Other Supporting Documents (e.g., users manuals).
  • Employee Forms
  • Internal files (e.g., your CSS (themes), SSL certifications, etc.)

Published v Non Published Assets

Assets are classified as Published or Not Published .

  • Published assets are:
    • Visible to employees, contacts, and everyone with the proper link.
  • Non-published assets are:
    • Only visible to Employees.

When assets are added, the default setting for published/not published is determined as follows:

  • All assets a Contact uploads are automatically published by default.
  • All assets an employee uploads are automatically not published by default.
  • All embedded artwork images are automatically published (and can't be set not-published).
  • All artwork is automatically published (and can't be set not-published).

Understanding Asset Folders

All of your assets in Cyrious Online are organized into folders. Cyrious Online automatically creates folders in which you can store assets (files) for the following types of objects:

  • Your Business
  • Each Customer Website
  • Each Customer
  • Each Contact
  • Each Employee
  • Each Product
  • Each Order Line Item

The Images and Documents tab shows which assets (files) are in the folder for that itemThere is no Images and Documents tab for Orders. Instead, the assets are made available through links on the order's detail pages. .

Business Asset Folder

Your business asset folder is used for storing assets that are accessible by your employees and across all customer websites. This is a good repository for general business documentation, forms, logos, etc.

The primary image in your business asset folder is used as the logo in the default header. See business_setup for more information accessing the Business Asset Folder.

Customer Website Asset Folder

Each Customer Website has its own asset folder. This folder is used for storing assets that may need to be published to customers and contacts using that website. This is a good repository for business documentation, forms, logos, etc. particular to the website group of customers.

The primary image in your customer website asset folder is used as the website logo in the block beneath the home navigation header. See customer_website_setup for more information accessing the Customer Website Asset Folder.

Product Asset Folder

Each Product has its own asset folder. This folder is used for storing the images and artwork associated with the product. It is also commonly used for other information specific to the product, such as installation instructions, warranty information, forms, etc.

The primary image in the product asset folder is automatically published and used as the thumbnail for that product if no artwork is available. If artwork is present, the primary artwork thumbnail is used instead. See product_setup for more information using the Product's Asset Folder.

Company Asset Folder

Each Company has its own asset folder. This folder is used for storing assets that may need to be published across your employees or the contacts in that specific company. This is a good repository for customer specific business documentation, forms, logos, etc.

The primary image for each company is automatically published and used as the thumbnail for that company throughout Cyrious Online. See customer_setup|Customer Setup for more information accessing the Customer Asset Folder.

Contact Asset Folder

Each contact has his or her own asset folder. This folder is used as a personal file storage area for that contact. It is accessible to other contacts in that company with advanced user rights.

The primary image for each contact is automatically published and used as the thumbnail for that person throughout Cyrious Online. See customer_setup|Customer Setup for more information accessing the Contact's Asset Folder.

Employee Asset Folder

Each employee has his or her own asset folder. This folder is used as a personal file storage area for that contact. It is accessible to other employees with power user or higher rights.

The primary image for each employee is automatically published and used as the thumbnail for that person throughout Cyrious Online. See employee_setup for more information accessing the Contact's Asset Folder.

Order Line Item Assets

Unlike the other asset folders, there is no direct images and documents tab for orders. Instead, the links to access assets associated with line items are displayed on the order details page as links (and action icons when appropriate).

The typical assets accessible from the Order Details page (for users with the appropriate rights) include:

  • Final PDF. (Employees Only)
  • Embedded Images. (Employees Only)
  • Non-Published Assets. (Employees only)
  • Published Assets. (Employees and Contacts)

The images_and_documents_tab

The images and documents tab is used for almost all types of assets.

The images_and_documents_tab supports these functions:

  • Uploading Assets (Files)
  • Deleting Assets (Files)
  • Copying Assets from other Folders
  • Sharing and Unsharing Assets
  • Obtaining the Web Address to directly access a link.
